FleetGuard AI ("FleetGuard", "we", "us") provides a compliance management platform for owner operators and motor carriers. This Privacy Policy explains what we collect, how we use it, and the rights you have over your data.
1. Information we collect
- Account data: name, email, phone, company, role, password hash.
- Compliance data: driver records, CDL/medical info, truck and trailer details, IRP, IFTA, insurance, DOT inspections, and uploaded documents.
- Operational data: loads, fuel receipts, ELD events, and route mileage you import or sync.
- Communications: SMS notifications we send to drivers you opt in, and inbound replies (e.g. STOP / START).
- Usage data: log files, IP, device, browser, and pages viewed for security and product improvement.
2. How we use information
- To run the service: alerts, dashboards, IFTA reports, document vault.
- To send compliance reminders by SMS or email when you or your drivers opt in.
- To detect fraud, abuse, and comply with legal obligations (e.g. FMCSA, IRS, state DOTs).
- To improve the AI assistant. We do not sell your data to third parties.
3. Sharing
We share data only with sub-processors strictly required to run the service: cloud hosting, database, authentication, SMS delivery (Twilio), payment processing, and AI model providers. Each sub-processor is bound by a data processing agreement.
4. SMS messaging
SMS reminders are sent only to phone numbers you supply with explicit opt-in. Standard message and data rates may apply. Reply STOP to opt out at any time, HELP for assistance. Frequency varies based on expirations.
5. Data retention
We retain account and compliance data for as long as your account is active and for up to 7 years after closure to meet federal recordkeeping requirements (49 CFR §379). You can request earlier deletion subject to legal holds.
6. Security
Data is encrypted in transit (TLS 1.2+) and at rest. Access to production is role-restricted, audited, and protected by MFA. Despite reasonable safeguards, no system is 100% secure — please notify us at info@lugarinvestllc.com of suspected incidents.
7. Your rights
- Access, correct, export, or delete your data.
- Withdraw consent for marketing or SMS at any time.
- Lodge a complaint with your local data protection authority.
8. Children
FleetGuard is not directed to anyone under 18 and we do not knowingly collect data from minors.
9. Changes
We will notify you of material changes by email or in-app banner at least 14 days before they take effect.
